Privacy Policy

Last updated: October 25, 2026

This Privacy Policy explains how Aximus Labs LLC ("Aximus Labs", "we", "us") collects, uses and shares information when you visit aximuslabs.com, sign up for our service, call or text a restaurant that uses Aximus Labs, or receive a text message from us.

Aximus Labs provides AI phone answering and ordering for restaurants. When you call a participating restaurant, our AI answers on the restaurant's behalf, takes your order or answers your question, and, if you agree during the call, Aximus Labs may text you a confirmation of that order.

1. Information we collect

Information you give us directly:

  • Restaurant owners and staff: restaurant name, your name, phone number, email address, point of sale (POS) system, menu, hours and other details needed to set up the service.
  • Callers to participating restaurants: your phone number, name, order details, pickup or delivery address, reservation details and anything else you say during the call.
  • Anyone who contacts us: the contents of your email, message or form submission.

Information collected when you use the service:

  • Call data: caller ID, call time and length, audio recordings and transcripts of calls handled by our AI.
  • Text message data: your mobile number, the messages we send and receive, delivery status and your opt-in or opt-out choices.
  • Website data: IP address, browser and device type, pages viewed and referring site, collected through standard server logs and similar technologies.

Payment information: card payments are handled by PCI-compliant payment processors through secure payment capture. We do not store full card numbers, and card details are kept out of call recordings and transcripts.

2. How we use information

  • To answer calls, take orders and reservations, and send them to the restaurant's POS, printer or tablet.
  • To send text messages you have agreed to receive: order and reservation confirmations to callers, and new-order and booking alerts to restaurant owners and staff.
  • To set up and support restaurant accounts, including onboarding, service notifications and customer support.
  • To respond to inquiries and, where you have agreed, follow up about our service.
  • To monitor and improve accuracy and call quality, including reviewing recordings and transcripts.
  • To protect against fraud, abuse and security incidents, and to comply with legal obligations.

3. Text messaging (SMS)

Aximus Labs sends two kinds of transactional text messages:

  • Order and reservation confirmations to people who call a restaurant that uses Aximus Labs. During the call, our automated AI phone assistant asks whether Aximus Labs may text a confirmation to the caller's number. A text is sent only if the caller says yes.
  • New-order and booking alerts to restaurant owners and staff who check the optional SMS consent box on our sign-up form.

We do not send marketing or promotional text messages. Consent to receive texts is not a condition of any purchase. Message frequency varies. Message and data rates may apply.

You can opt out at any time by replying STOP to any message. You will receive one final message confirming you have been unsubscribed. Reply HELP for help, or email hello@aximuslabs.com. See our Terms & Conditions at https://aximuslabs.com/terms for full SMS program terms.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are excluded from all of the sharing categories in this policy and will not be shared with any third parties.

4. How we share information

We do not sell personal information. We share information only as described below:

  • With the restaurant you called: order, reservation and call details go to the restaurant so it can fulfill your request. The restaurant can also review call recordings and transcripts in its dashboard.
  • With service providers that help us run the service, such as telephony and text message delivery, speech and AI processing, cloud hosting, payment processing and POS integrations. They may use information only to provide services to us and are bound by confidentiality obligations.
  • When required by law, or to protect the rights, safety and property of our users, the public or ourselves.
  • As part of a merger, acquisition or sale of assets, subject to this policy.

Sharing with service providers for message delivery is limited to what is needed to send messages you have requested and never includes sharing your mobile number or opt-in consent for anyone else's marketing.

5. Restaurants and our role

When Aximus Labs handles a call for a restaurant, we process caller information on that restaurant's behalf. The restaurant's own privacy practices also apply to how it uses your order and contact details. If you have questions about a specific restaurant, you can contact the restaurant directly or contact us.

6. Data retention

We keep information for as long as needed to provide the service, meet our contractual obligations to restaurants, resolve disputes and comply with law. Restaurants can request deletion of their call recordings and account data. When information is no longer needed, we delete or de-identify it.

7. Security

We use administrative, technical and physical safeguards designed to protect information, including encryption in transit, access controls and keeping card data out of recordings. No system is perfectly secure, so we cannot guarantee absolute security.

8. Your choices and rights

  • Text messages: reply STOP to opt out at any time.
  • Emails: use the unsubscribe link in any marketing email.
  • Access, correction and deletion: email us to request a copy of your information or ask us to correct or delete it. We may need to verify your identity first.

Depending on where you live, you may have additional rights under state privacy laws. We will not discriminate against you for exercising them.

9. Children's privacy

Our website and service are not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.

10. Changes to this policy

We may update this policy from time to time. When we do, we will change the date at the top of this page, and for material changes we will provide additional notice where appropriate.
